Email setup plan for Amertrans Logistics
Sending domains and mailboxes for the sales team now, plus a warmed-up cold email setup ready for when you want it. This is the shape of it; we lock the details together on the call.
Short version: your reps keep sending from HubSpot, but from a separate domain so amertranslogistics.com never carries any risk. In the background we buy and warm up 10 more domains so cold email can start the day you give the green light, with no waiting.
Cost: $122/yr for domains, $180/mo for mailboxes and warm-up, $500 one-time to set it all up properly.
What gets set up
Sales team sending via HubSpot
- 1 domain: amertrans-logistics.com
- 3 mailboxes, one per rep
- Connected to HubSpot so the one-click send keeps working the same way
- Replies land in HubSpot and in each rep's normal inbox
- Warmed up first, so the emails land
Cold email, warming in the background
- 10 domains, 2 mailboxes each (20 senders)
- Capacity for ~300 cold emails a day once live
- Warm-up runs on autopilot until you say go
- Nothing for your team to manage, ever
- Sits warm at the monthly cost above, nothing extra
Why a separate domain for the reps
When an email gets marked as spam, the damage sticks to the domain it was sent from. Right now that is your main company domain, the one your invoices, quotes and customer emails go out on. Moving rep outreach to amertrans-logistics.com means the worst case is a $12 domain, not your main inbox landing in spam at a customer.
Your reps' day doesn't change. Same HubSpot button, same workflow, replies come back to them.
Two ways to do the rep mailboxes
Both give the same result for the reps. The difference is who sets up the mailboxes. On the call we look at how your HubSpot sending is set up today and pick the one that fits, then agree the exact steps from there.
What it costs
| Item | What it covers | Cost |
|---|---|---|
| Domains | 11 domains (1 for the reps, 10 for cold email) | $122 / yr |
| Mailboxes + warm-up | 23 Google mailboxes plus EmailPond, the warm-up platform that gets them landing in the inbox | $180 / mo |
| Setup | Domain selection, DNS and authentication, mailbox creation, HubSpot connection, warm-up config, and a check of everything at the end | $500 one-time |
| First month | $802 | |
| After that, $180 / mo plus the yearly domain renewal. Domains and mailboxes are billed to accounts in your name, so you own everything. | ||
What we need from you
- A 15-minute call with whoever handles your accounts and HubSpot. We look at how things are set up today, agree the next steps, and you get them in writing afterwards.
- The names and email addresses of the 3 reps.
- Someone with a company card who can create the domain, mailbox and warm-up accounts in your name and approve the charges. Everything stays owned by you; we never hold your logins.
- Each rep on the call, or logged in, for the two minutes it takes to connect their new mailbox to HubSpot.
How the setup runs
You own every account and approve every purchase. We tell you exactly what to buy and click, do the technical configuration, and check each step before moving to the next.
| Step | You | Us |
|---|---|---|
| Domains | Buy the ones we name, in your registrar account | Check availability, pick names that pass spam filters, send the exact list and where to buy |
| Mailbox and warm-up accounts | Create the accounts, approve the charges | Step-by-step setup instructions, every configuration filled in for you |
| DNS and authentication | Switch the nameservers where we tell you, two minutes per domain | Everything else, then verify every domain |
| HubSpot | Show us how sending works today, then each rep connects their new mailbox | Match the new mailboxes to your current setup, run test sends, confirm replies land |
| Final check | Nothing | Verify every domain and mailbox, hand you a written summary of what was set up |
Every step comes with a written checklist, and nothing moves to the next step until the previous one is confirmed working.
Timeline
| Day 1 | Call, domains bought, accounts created, nameservers switched |
| Day 2 | Mailboxes live, DNS verified, warm-up switched on, rep mailboxes connected to HubSpot, test sends checked |
| Week 3 | Reps start sending from the new domain |
| Week 4 | Cold email domains fully warm and on standby |
When you're ready for cold email
The 20 warm senders move onto the sending platform in a day, with no new warm-up wait. That platform includes warm-up, so the EmailPond subscription drops away rather than stacking on top. Adding more domains and senders later takes the same steps at the same prices.
